How a job moves
From the first call to the last squeegee pass
Write it up
Add the customer and create the job: a sign, a vehicle wrap, window graphics or a banner, with the vehicle or site, the due date and the quoted price. Assign a designer.
Send the proof
Upload the proof and copy its link into your email or text. The customer opens it on their phone and taps Approve or Request changes. Approval moves the job to Production on its own.
Book the install
Pick a date, an arrival window and the site address, and assign an installer. The install shows on the shop calendar and on that installer's phone.
Close it out
The crew marks the install on site, then done, with a note. The job moves to Installed with the approved version and the install on record.

Questions from shop owners
- How does proof approval work?
- Each proof version gets its own link. You paste it into your email or text, the customer opens it on any phone without an account, sees the proof and taps Approve (with their name) or Request changes (with a note). The answer, their name and the time are saved against that version, so nobody argues later about which one was signed off.
- Is WrapBay full sign shop management software?
- It covers the part small shops lose track of: every sign, wrap and graphics job from quote through design, customer proof approval, production and install, instead of a whiteboard, a spreadsheet and a pile of text threads. It leaves out the estimating and accounting modules of the big sign shop systems.
- Is it vehicle wrap software for designing wraps?
- No. Design the wrap in Illustrator, FlexiSIGN or whatever you use now. WrapBay tracks the job around the design: which version the customer approved, when it goes to print, and who is installing it where.
- Can my install crew see their jobs on a phone?
- Yes, on the Crew plan. An installer signs in and sees only the installs assigned to them: date, arrival window, address with a map link, site contact, notes and the approved proof. They mark on site, completed or needs a return trip.
- Will my designer see what we charge?
- No. Designers see only the jobs assigned to them and never see quoted prices. They upload proof versions, copy the customer link and record approvals that come in by phone.
- Does it replace a sign shop work order template?
- Yes. The job page is the work order: customer, job type, vehicle or site, due date, proofs, install visits and notes, kept up to date by whoever touched it last instead of reprinted.
- Can I bring my customer list?
- Yes. Import customers from a CSV (business name, contact, email, phone, notes) and export them, or your jobs, as CSV whenever you like.
- Is there a free trial?
